Managing Online Fitness Clients: Programs, Chat, and Check-Ins
A practical workflow for delivering online fitness programs, handling chat, reviewing check-ins, and keeping client work visible without spreadsheets.
Client management becomes difficult when the plan lives in one tool, messages in another, and weekly feedback in a spreadsheet. Trainer Space keeps the delivery state connected to access.
Start with a program
Give every client a visible path: current module, expected action, supporting material, and completion state. Name modules by outcome rather than file type. A client should not need to ask which PDF or video comes next.
Use chat for context
Chat is best for clarification, encouragement, and coaching decisions connected to the program. Set a response window in the offer. Do not promise continuous availability, and route urgent medical questions to an appropriate professional.
Use check-ins for repeatable feedback
A check-in should collect only information you will review: adherence, perceived effort, obstacles, and the next-week constraint. Use the inbox at a fixed cadence. Structured answers make trend review easier than searching a long message thread.
Watch access and capacity
The Students and Usage areas show active access and plan pressure. A cancelled recurring subscription may remain active until the paid period ends. Do not remove access based only on a chat message or an unconfirmed payment event.
A weekly operating rhythm
- Review new clients and failed onboarding.
- Process check-ins in a consistent order.
- Answer program-specific chat.
- Adjust the next module or material.
- Check active seats and video usage.
